Maintenance

ROUTINE MAINTENANCE REQUESTS

  • With the exception of emergencies, all maintenance requests must be submitted through your tenant portal.
  • To avoid delays, complete the maintenance request in entirety, including concise, but complete, descriptions.
  • All maintenance requests are important, to us as well as to you. We make every effort to respond timely; however, requests will be addressed in the order they are received and prioritized by their level of urgency. If necessary, we will appreciate your patience and understanding.
  • For those without internet access, Maintenance Request forms are available at the office.

EMERGENCY MAINTENANCE REQUESTS

  • For gas odors or fire, call 911 immediately.
  • Any other matter related to the property under lease that is threatening to life, health or the property is considered an emergency. This may include broken water pipes, a tree that has fallen on the structure, major sewage backup, flooding and so forth.

NON-EMERGENCIES:

  • Refrigerator, oven, water heater or air conditioner not working properly;
  • Locking yourself out of the home;
  • Power or gas outage.
  • Certainly these issues are inconvenient, uncomfortable and aggravating, but they are not true emergencies.
Ensure that you have adequate renter’s insurance to cover unforeseen personal property losses. Iron Property Management is not responsible or liable for loss of food caused by an appliance malfunction or for damaged belongings due to water leaks or other conditions.

TENANT DAMAGES

  • Damage caused by tenant abuse or misuse will be charged back to the tenant. Iron Property Management will rely on the opinion of the service contractor to advise the cause of the damage.
  • If plumbing is clogged due to inappropriate items in the drain or toilet, the plumbing contractor’s cost is the tenant’s responsibility. Examples of inappropriate items may include, but are not limited to, hair, hair ties, Q-tips, hygienic wipes, toys, brushes, diapers, sanitary products and cleaning rags.
  • A clog is not an equipment failure, and the tenant is expected to manage and be responsible for such issues. If the contractor advises that the problem is not caused by the tenant (such as roots in the plumbing system, collapsed pipes, septic tank backup and so forth), the lessor will assume full responsibility.
Requests are reviewed Monday through Friday from 9:00 a.m. to 5:00 p.m., except for holidays.

With online rent payments, these concerns are a thing of the past. Simply hop on your computer and in just a few minutes, your rent is paid! Or remove all doubt and schedule a payment in advance so your rent is paid automatically. Plus, you get the added benefit of not having to write checks, address envelopes, or buy stamps.

Security

In a world where online financial predators seem more and more common, we understand if you have reservations about entering your bank account information online. But fear not! Your information is password protected and all transactions are both encrypted and securely transmitted.

MOVING IN

  • All tenants must complete rental applications.
  • Rent, prorated rent, security deposits and all outstanding balances must be fully paid in full before keys will be distributed.
  • A move-in inspection form, required for your protection, must be submitted to Iron Property Management within seven days of your occupancy. The form will provide valuable information about the condition of the property when you move in. If the form is submitted past the initial seven-day period, you will be responsible for unreported damages.
  • All properties are cleaned to the standards of Iron Property Management. We understand there may be differences of opinion about the definition of “clean;” however, tenants will need to accept the rental unit as is and be responsible for additional cleaning if their personal standards are different.
  • All utilities must be activated and transferred to your name by the start of the lease. Failure to take care of this responsibility will result in a $100 fee.

MOVING OUT

  • A Notice to Vacate form must be completed and submitted at least 30 days prior to vacating to avoid being committed to a continuation of the terms of your lease.
  • Tenants are responsible for removing all trash and belongings upon moving out. Iron Property Management is not responsible for items left behind. If trash or belongings are not removed, tenants will be charged for removal of such items, including clothes hangers, unwanted kitchen items, bathroom organizers unattached to the wall and so forth.
  • Tenants must return all keys to a unit together, on or before the last day of the lease. Rental charges will continue until keys are received. Keys must be hand delivered to the office (no mailed keys) or arrangements need to be made to meet with the manager. Keys must be in a secure envelope, clearly labeled with the tenant’s name, address and unit number. If keys cannot be distinguished, tenants will be charged for replacements.
  • Inspections will be conducted after all keys to the unit are returned and everyone has vacated the unit. There will be no re-inspection. The condition of the premises will be noted on first inspection, and it is expected that the unit will be clean, neat and free of trash or any personal or household belongings.
  • Your security deposit (less any charges against it as described, if appropriate) will be returned within 30 days of moving out and sent to the forwarding address you specify on the Notice to Vacate form. Only one check will be written for the security deposit disbursement. Iron Property Management will not split the security deposit between tenants.
